I’m a Finance user

As a Finance user you need to have access to the features related to Finance & Administration. Below you’ll find a list of screenshots and explanation, allowing you to get a quick intro to the system as a finance user.

My settings

First of all you will need to make sure that your personal settings are correct. Open My settings in the upper right corner.

The Jobs book

In the Jobs book you find all jobs along with the expenditure and invoice information related to each one. Below is the front-page showing you the jobs.
Click on a job on the Jobs list and then either click on the “Expenditures” or “Invoice” tab to navigate to the finance related information on the job.


The Expenditures tab provides an overview of the finances related to the job. The figures have been divided into 4 groups: Scheduled hours (in money), Price quote, Expenditures and Invoiced amounts.

Note: if you want to see expenditure details, simply click on the Hours, Materials or Purchases tab. 


Doing an invoice is more or less the same as doing a price quote. When you create a new invoice, you can use the Copy From button to copy from another invoice, copy the content from the price quote or insert the expenditures. Remember, you decide what to invoice. Just add/remove lines from the grid and change the hours.


Time sheet

You need to have an understanding on how to fill in the time sheet.


Finance & Administration

The first window is the Chart of Accounts. From here you can see the current Balance Debit/Credit on each account.

Debtors & Creditors

In the views highlighted below, you have the majority of functionalities related to Debtors & Creditors.

Debtor & Creditor payment views

Monthly views

In this section you will find anything related to the monthly procedures like bank reconciliation, purchase order management, inter-company (multi-company) settlements and accounting periods.

Administrative and Controller views

Finally, use the built-in Administrative lists to help you check the open records and to do various maintenance tasks.
