Deleting absences

WorkBook has two system variables that determine who can and can not edit or delete absence entries.

Deleting another employee’s absence

If you need to delete one of your employee’s absence entries, this is a simple process that is done in Resources > Employee card > Absence overview > Absence entries.

Select the absence.

Then click on ‘Delete absence entries’ icon to delete the absence.

  • System variable 77 will need to be ticked if an employee’s manager is allowed to edit an absence entry.

Nb. Deleting an absence for other employees can only be done by the manager of the employee. See Resource Card > Settings > Employee Basic Settings to assign a Manager to an employee.

Deleting your own approved absence

As an employee it is also possible to delete your own approved absence entries. This is done in Time and Expense > Absence overview > Absence entries.

Select the absence.

Then click on ‘Delete absence entries’ icon to delete the absence

  • System variable 681 affects whether an employee can delete their own absence.
    • If Variable 3 is selected, an employee can potentially take holidays and then delete the entry once the leave has been taken. So this should be used in caution.
    • If Variable 2 is selected, an employee can only delete future absences.
    • If Variable 1 is selected, an employee can not delete their approved absence.
