How to change status on a job

You can change the status of your job in the job properties sidebar, underneath “Basic job settings,” as seen below.

You can also change the job status by clicking the job status colour in the job list.

Each job status has a different meaning.

Quotation: The job is in quotation stage.

In process: The job is currently being worked upon, and is in process.

On hold: The job is on hold. Jobs set in this status have special circumstances attached, as detailed in this help desk article.

Ready for invoicing: The job is ready to be invoiced.

Invoiced: The job has been invoiced and closed.

Cancelled: The job was cancelled.

Please note that setting a job to “Invoiced” or “Cancelled” are the two ways to close or otherwise finalize the job’s ending. It is not possible to delete a job entirely from WorkBook.

Company variable 37 will prevent the job from being closed if there are still expenditures on the job which have not been partially invoiced.

There are also many system variables that relate to the job status. Some are listed here:

  • System variable 548: Automatically change job status to “In process” when price quote is approved
  • System variable 551: Create new job: default job status
  • System variable 580: Set job status to 3 when last task is set as done
  • System variable 615: Allow user to change job status to: 1 or 2 when no Description exists
  • System variable 616: Allow user to change job status to: 1 or 2 if no Schedule exists
  • System variable 617: Allow user to change job status to: 1 or 2 if no price quote exists
  • System variable 652: Create new job: allowed job status values (0,1,2,3,4)
  • System variable 664: Change status trigger: Set Allow time entry when job status is “0 – Quotation”
  • System variable 665: Change status trigger: Set Allow time entry when job status is “1 – In process”
  • System variable 666: Change status trigger: Set Allow time entry when job status is “2 – On hold”
  • System variable 667: Change status trigger: Set Allow time entry when job status is “3 – Ready for invoicing”
  • System variable 668: Set all tasks to status “Done” when job status is changed to “3 – Ready for invoicing”
  • System variable 669: Set all tasks to status “Done” when job status is changed to “4 – Invoiced/Finalised”
  • System variable 670: Set all tasks to status “Done” when job status is changed to “5 – Cancelled”
